About The Client

Our client is a leading state transportation authority. When the state announced a major transportation reform aimed to improve operational effectiveness, one of the key initiatives of the reform was the Master Schedule Program, which sought to streamline the processes and integrate the technologies needed to manage a project portfolio with a budget exceeding $1b per year.


The Challenge

Our client was undergoing a massive organizational restructure, which at the time was considered to be the largest enterprise transformation in all of Australia. Our client had outdated processes and technologies in place which were siloed by division, but lacked the enterprise processes, technologies, and analytics which were needed to effectively manage such a large and complex project portfolio.


The Solution

ViaPoint architected, designed, and delivered the Master Schedule Program, which included embedding an enterprise project management process based on the PMBOK methodology, configuring the enterprise project management tool (Oracle Primavera P6), integrating the enterprise project portfolio management tool with the organisation’s ERP system (SAP) and business intelligence platform (Tableau), and providing training and change management support for more than 600 users. We also built a Project Management Portal which integrated with Oracle Primavera P6 and other systems, so that project managers across the enterprise would have a single user interface for managing their project scopes, schedules, costs, resources, risks, issues, and status reports each month. We then built Project Portfolio Dashboards using Tableau, so that executives and portfolio analysts could easily track which initiatives were performing well, and which were at risk.

The Result

The solution delivered by ViaPoint delivered more than $20m in direct financial benefits as a result of decreasing cost overruns, unit rates, reporting FTEs, and schedule overruns. It also mitigated risk by improving visibility and interdependency management, and improved quality by enhancing decision making and project maturity.
